CENTER BACKGROUND

This position will be based in New York City.

 

 GENERAL PURPOSE AND SCOPE OF POSITION:

The Administrative Assistant will report directly to the Manager, Special Projects and will support the Strategy & Operations department, including the Chief Strategy & Operations Officer and the Monitoring, Evaluation, and Learning (ME&L) unit. The Office of Strategy & Operations'through nonprofit management strategies'supports the Center's many functional areas from programs to operations. This office works closely with the Executive Team and with staff across the Center to align, evaluate, and report on the Center's strategic direction and frameworks for achieving impact.

The primary job responsibilities of the Administrative Assistant include, but are not limited to:

  • Provide administrative support to the Strategy and Operations team; day-to-day tasks will include: telephone coverage, expense monitoring and reporting, hard copy and digital document management, research, and drafting, editing, and proofreading presentations, memos, and correspondence;
  • Manage the CSOO's calendar including the coordination of internal and external meetings, coordination of guest lists with building security, and preparation of meeting materials;
  • Provide scheduling and meeting support for the Senior Director, ME&L and weekly Executive Team meetings, as needed; 
  • Support travel logistics for the Strategy & Operations team;  
  • Support technical and logistical needs of bi-monthly all-staff meetings;
  • Create and maintain an organization-wide external events tracker;
  • Provide support to the Office of Strategy & Operations internal communications initiatives;
  • Serve as a positive core member of the Strategy & Operations team, who works well with other assistants and executives throughout the organization;
  • Other tasks and special projects as assigned.

  • Bachelor's degree required;
  • Prior office and/or administrative experience required;

  • Ability to maintain the highest level of confidentiality with sensitive information;
  • Excellent written and verbal communication skills;
  • Excellent interpersonal skills with the ability to work independently as well as part of a team;
  • Ability to maintain a calm, professional demeanor when working within strict deadlines and regularly shifting priorities;
  • Advanced proficiency with Microsoft Office suite programs;
  • Technological savvy and eagerness to learn new platforms; and
  • Sense of humor.
